Cosmic Creative Studios ("we", "us", "our") is based in Horley, Surrey, and builds and manages websites and a client dashboard for UK trades businesses. This policy explains what personal data we collect, why we collect it, who we share it with, and the choices you have.

2. What data we collect

Depending on how you interact with us, we may collect:

  • Contact details — your name, email address, and phone number.
  • Business details — your business name, trade, service areas, and any other information you give us to build and describe your website (for example, services offered, business description, brand tone of voice, and competitor websites).
  • Account data — the email address and password (stored securely by our authentication provider, not by us in plain text) used to log in to your dashboard.
  • Billing data — your subscription status and payment history. We do not store your card details ourselves; these are handled entirely by our payment processor.
  • Customer and lead data — if you're a client using our dashboard to run your own business, you may enter data about your own customers and leads (name, phone, email, job details) so we can provide the CRM features of the service to you.
  • Usage data — basic technical information such as browser type and pages visited, used to keep the site working correctly.

3. How we use it

We use your data to:

  • Build, host, and manage your website;
  • Provide access to and operate your client dashboard (leads, pipeline, calendar, inbox, and related tools);
  • Communicate with you about your account, your website, or a support request;
  • Process payments and manage your subscription;
  • Send SMS or email notifications you've asked for (for example, appointment reminders or lead alerts);
  • Meet our legal and accounting obligations.

We do not sell your personal data, and we do not use it for advertising unrelated to our own service.

4. Who we share it with

We use a small number of trusted service providers to run Cosmic Creative Studios. Each only receives the data it needs to perform its specific function:

  • Supabase — hosts our database and handles account authentication.
  • Stripe — processes subscription payments. Card details are handled directly by Stripe; we never see or store them.
  • Sanity — stores and manages website content (such as blog posts and page copy).
  • Vercel — hosts and serves our websites.
  • Twilio — sends SMS messages on our behalf, such as lead notifications and appointment reminders.

These providers only process data on our instructions and are bound by their own data protection obligations. We don't share your data with anyone else except where we're required to by law.

5. Data retention and deletion

We keep your personal data for as long as your account is active, and for a reasonable period afterwards to meet our legal, accounting, and dispute-resolution obligations. If you'd like your account and associated data deleted, emailhello@cosmiccreatives.co.uk and we'll action the request, subject to any records we're legally required to keep (for example, invoices for tax purposes).

6. Your rights

Under UK data protection law, you have the right to access, correct, or delete your personal data, to object to or restrict certain processing, and to ask for your data in a portable format. You also have the right to complain to the UK Information Commissioner's Office (ICO) if you believe your data hasn't been handled correctly.
